What belongs on a freelance invoice

Most countries expect the same core set: a unique invoice number, the date it was issued and the date payment is due, your name and address, the client's name and address, a clear description of the work, the amount before tax, the tax applied, and the total owed. If you are registered for VAT or sales tax, your tax number usually has to appear as well.

Add your payment details — bank account, IBAN, or a payment link. An invoice that does not say how to pay it gets paid late. Requirements differ by country, so check what your own tax authority expects before you send the first one.

Numbering invoices so it does not become a mess

Invoice numbers must be unique and should never go backwards. The simplest scheme that survives an audit is year plus a counter: 2026-001, 2026-002. Some freelancers add a client code, which is fine as long as the sequence within each client is still unbroken.

Do not reuse a number after cancelling an invoice. Issue a credit note instead and keep the original in your records — a gap in the sequence is exactly what an accountant will ask about.

Getting paid on time

Write the payment term as a date, not a phrase. “Net 14” means nothing to a client who does not work with freelancers; “Due 17 September 2026” cannot be misread. The generator fills the due date from the issue date and your default term.

For larger projects, split the work across two invoices — a deposit up front and the balance on delivery. It is far easier to chase half than all of it, and clients rarely object.

Tax, discounts and multiple currencies

Tax is applied per line, so a project mixing taxable work with a zero-rated item stays correct without a second invoice. Discounts work the same way: a percentage on one line, or a fixed amount across the whole invoice.

Fifty-two currencies are available, with the symbol and the number formatting that goes with each. If you invoice a client abroad, name the currency in words as well — “Total due: 1,250.00 EUR” leaves no room for interpretation.

Questions

Is an invoice made here legally valid?

The document itself is a normal invoice with the fields businesses expect. Whether it satisfies your obligations depends on where you are registered and what your tax authority requires — check your local rules, particularly around tax numbers and sequential numbering.

Do my invoices and client details get stored on a server?

No. Everything stays in your browser's local storage on your own device. There is no account, no database and no server that receives the data. Use Save to file for a backup you control.

Can I invoice in a currency other than my own?

Yes, 52 currencies are supported with correct symbols and formatting. Exchange rates are not applied — you enter the amount in the currency you are billing in.

Can I add my logo?

Yes. It is stored with your company defaults on your device and appears on every invoice from then on.

What about recurring invoices for a retainer?

Duplicate the previous invoice: it copies the lines and gives you a new number and dates, which is all a monthly retainer needs.

Is there a watermark or a limit on how many I can make?

Neither. No watermark, no monthly cap and no paid tier that unlocks the useful parts.
