What to put on a photography invoice

The core fields are the same as any invoice: a unique number, issue and due dates, your details and the client’s, a line-by-line breakdown, subtotal, tax and total. Add your payment details — bank or a payment link — or you will be chasing it.

Photography-specific lines that are worth separating: the shoot or day rate, post-production or retouching, physical products (prints, albums, USB), the licensing or usage rights being granted, and travel or expenses. Splitting them makes the value clear and makes it easy to adjust one part later.

Licensing and usage on the invoice

If you are granting usage rights — commercial use, a set period, specific channels — state it as its own line with the scope in the description (“Social + web use, 12 months, one territory”). It sets expectations and protects you if the client later wants more.

For deposits, add a line for the amount already paid as a negative value or note it under the total, so the balance due is unambiguous.

Questions

Is a photography invoice made here legally valid?
